Updating grades and awards with CGO

DD's academic quarter just ended and she will have mid-term grades reported soon (which will not be reflected on her official transcript at the end of the semester). AP Calc and Physics grades are both A's at this point, and we want to update things with the CGO. Likewise, she received notice that she is Cum Laude qualified (induction will not be until May 2013), and we want to pass this along.

We know whatever is reported to CGO needs to be validated by her school, and would appreciate thoughts on what the best approach is for communicating these updates to CGO?

My son simply let the Admissions Officer know that he needed to make an update to his packet, and he copied the Guidance Counselor (in one case) and Coach (in another) and asked them to verify his requested changes. They did, and that seemed to be all it took.
 
School-related honors or other information MUST be verified by a school official or USNA won't count it.

Non-school items should be accompanied by objective evidence or a verification by the person in charge of that activity.
 
My DS had same experience...emailed Admissions to let them know he was a National Merit Semifinalist and Admissions replied that the information need to come from my son's school.
 
Anyone know the best way to update an improved test score? My son's SAT scores were not updated for three weeks in the initial application process. He wants to update the math scores to an improved score, but doesn't want it to take another 3-4 weeks. Should the school counselor fax or scan that info directly to USNA Admissions? We have already had the SAT people send the score, but it certainly took a very long time for the first scores to show up on his admissions progress page.
 
If the school gets official notification of SAT/ACT scores that are amended to a school's transcript, USNA sometimes accepts this. Given that you have requested the scores to be reported to USNA, that is the official process -- I know you aren't happy with the turnaround time, but that is what it is. I really don't think it would expedite a decision either way, even if that one thing Admissions needs are improved scores.

We just went through this as well. Admissions wouldn't accept anything other than the official report from CollegeBoard. Fortunately, CIS was updated just a couple of days after the scores were released. My son took his last SAT on 10/3, the scores were released on 10/25 and CIS was updated on 10/31. It may have even been sooner, but that was the first time he checked after the score release date.

If your son sat for the November test, they should be in around the end of the month I would think. That's not too bad. Of course, that's easy for me to say. We were nervous about waiting until 10/31 to get the updated scores in place!

I don't know if this is the best way, but my son emailed his Regional Coordinator (name/email address found in CIS) and copied to relavant school official and asked the school official to Reply All with confirmation. For example, he was elected captain of his team in the spring, and he emailed admissions and copied his coach. His coach replied affirmatively, and that was that.

While this is one method of doing this, I would recommend typing a letter with a description of what you are adding -- "from" the school official or the person who oversees the activity and "to" Admissions. Have that person sign the letter and then scan/email to Admissions requesting the new information be added to your record (also ask Admissions to confirm receipt).

This is a good way for a few reasons:
(1) If Admissions loses the email, you can simply resend the letter. You also don't have to worry about the coach or other person not responding or the email going to their spam folder. This letter can also be added to your own record (that you are hopefully keeping).
(2) You aren't flooding Admissions with a couple of emails, when it only takes one.
(3) Something in writing with a signature is normally more appreciated/formal (official) then just via email.

Joe T. Door (candidate number 123456) recently placed first in 1,600 meter run event at the Iowa state track and field championships with a school record time of 4:01. In addition, he also captured the regional and county championship titles. Enclosed are the results of these three championships.
