Repeated Letter re Incomplete AROTC Application

Hello! I just joined and posted an introduction in that section. My 18 yr old son, Chris, applied for an Army ROTC Scholarship here in SoCal. He's already been accepted to 3 of the 4 schools he's applied to (we should hear from the 4th by next month).

About once a month, he receives a letter that his application is incomplete or missing information and to provide an explanation about college credits earned. (Chris put down that he earned college credit for his AP classes he took - which wasn't technically correct, but we can't change that on his application.)

Every time we get the letter, we've called or e-mailed the contact person, and she responds that our son's "application is complete." We're just worried this might be holding up the review board's consideration.

Has anyone else experienced this? Thanks in advance for any help you can offer!
 
AROTC website shows ACT/SAT scores not received, thought ACT/SAT electronically sent them. Interview done, transcript sent, shows incomplete. Sent email to AROTC office questioning and they say everything is complete. Got a letter today saying items are missing. Not sure how to advise as we are having the same thing happening.
 
Same thing here. Letter asks for "explanation as to the number and type" of college credits earned, even though I had emailed them my transcript twice already.
 
MEL2001!: Son received many letters in error that he still needed to complete interview, fitness test, etc. Everytime he had one of his schools contact to check status of file and once Cadet Command emailed son to tell him file was indeed complete. If Cadet Command says it's complete...it's complete.
 
Ditto here: son responded multiple times by fax & email to letters stating his application was incomplete, and requesting additional information about college credits. On December 1st he received 2 emails from Cadet Command stating his application is complete. Today, he too received a letter dated 1/13 again saying his application is incomplete and requesting info re college credits. He has reached out to his POC at Cadet Command, no reply, and then contacted the PMS at his 1st choice, along with a copy of the fax he had sent CC. They replied by saying they had forwarded the info to CC, but that if he had heard from them that his application is complete, he will not hear from them again until they notify him about his scholarship. Confusion and frustration are the order of the day! I told my son he'd better get used to this, if this is typical of the bureaucracy! :confused:

On a brighter note: thank you to all of you who have made such helpful contributions to this forum! I discovered you all about a month ago, and have learned so much.
 
Thanks, SingaporeMom! I've got an e-mail reply from CC that our son's application *is* complete. Nothing like keeping a paper/e-mail trail, lol.

I was reading on the Army discussion board that the ROTC applicants needs to stay in touch with the ROTC folks at schools their interested in attending. I know my son was doing that, but the post I read said the applicants should do that every couple of weeks, so I'll ask if if he's contacted the schools lately.

I am familiar with the web page where you enter SSN and birth date to check scholarship status but do not know where to check online that scores and such have been received. Would someone be so kind as to provide the url to the AROTC website as mentioned in the above post?

Fax and fedex copy of official scores, just to be sure. Sometimes electronic scores do not get registered (told this from an AFROTC contact). However, if Cadet Commands says the file is complete, it is complete. System generates letters automatically and seems to be a glitch....

There's no other website for us to chcek if things have been received, other than our scholarship status website. But a scholarship officer or PMS at your school on your list can check for you.
 
Well, we received yet another "incomplete application" letter in yesterday's mail. Of course, the point of contact person isn't responding, so I'm assuming she is no longer at that office. I ended up e-mailing CC directly from its website this morning to confirm that DS's file IS complete, and if we can update his application w/his summer job (he was a GS3 at the Camp Pendleton Hospital warehouse) and now his being an Explorer w/the San Diego County Sheriff's Dept.

Let's see if CC responds to this e-mail...!

I had a similar issue. I received an AROTC scholarship last week and just yesterday got the "college credit incomplete" letter, haha. I also got the scholarship notification packet twice-it was indeed the very same paperwork. I suppose it just happens.
 
Mel2001, my son has received the same letter every month since September!! He completed all his paperwork and stilll receives the letter monthly. I then fax a response and make sure I get a confirmation from teh fax machine. My son has also called his point of contact several times and each time she says his application is complete. He did take two summer classes last year while he was still in high school. He tried calling his POC again this week and now her recording says she is no longer working in the scholarship branch!!! Today he is sending an email to atccps@usacc.army.mil and see if they respond. It's very frustrating that this is happenign!
 
Son still receiving Missing Items letter and he has received hos scholarship and sent back his letter of intent. If cadet command says you are complete, then you are complete. POC at ROTC can also check your file.

My son emailed the cadet command atccps address and he got a reply right away. They said he was still mising the one form that I keep faxing every month!!! Each month when he called his POC she told him everything was in. She's no longer there and now we're getting that he's still missing this one item. I faxed it this morning and will have my son follow up via email to make sure they receive it. Also, if they didnt' receive it he said he can send it via email. So frustrating, his application has been in since September!

One thing we tried was scanning the document into our computer and then sending it to CC as an attachment to an email. That seemed to work after faxing and mailing failed.
 
So after faxing the missing document YET AGAIN this week I asked son to follow up with cadet command to make sure it was received. They replied to his email saying they did. Yesterday I asked him to reply to that asking if there's anything else he needs. Today they replied that his application is complete. A couple hours later they replied again saying he is STILL missing the document that i've been faxing!!! WHT!!! :mad: It's like the right hand doesn't know what the left hand's doing? :confused: This time I had him reply to the email with the attaching documnet. How is it possible that they keep going back and forth saying that everything's complete, and then that there's the same missing document! My fax machine confirms that EVERY MONTH it has been recieved on other end.
