delay in getting medical records

Hi, my son had his DoDMERB physical in January. He got a letter requesting medical remedials. They are all medical records to document two things in his history (doctors reports, radiology, pathology, and physical therapy). It is complicated by the fact that his doctor transferred from private practice to becoming chairman of orthopedics at the local hospital, so there are two sets of things to get for that. All that was obtained much quicker than I would have thought (by mid March). However, the physical therapy facility has been entirely unresponsive. They have been called every couple of weeks and they still have not produced the records (they are from 2006). I have a copy of their initial evaluation that they faxed to the doctor, but nothing else.

The letter from DoDMERB says everything must get submitted together, but I am beginning to wonder if we will ever get this information. We're now almost in June, which will be 4 months. Would it make sense to submit the information as is with a note stating that the PT records are not available? His total recovery can be assumed without these records, since he's been playing varsity football for the past 2 years. I am concerned that this is going to be a problem with his academy application.

A= @ this juncture, YES. Cut and paste your posting and my reply. Use as the cover sheet for the records you submit along with Son's complete name and last 4 SSN on that sheet.:thumb:
 
Well, my son sent all the paperwork in the very next day, including the cover sheet you recommended and just received a letter asking for the exact same two remedials. It's as if they never received the packet (which was quite thick). Now what to do?

I just sent my sons records overnight mail, I was told by the help desk this time of year it takes about 48 hours to get them scanned after they are received. Have you gotten notice that they were received yet? Our records were faxed and another set overnight mailed (from different docs) I was just interested in knowing what to expect.
 
sorry, I've been in the hospital for the past 5 days and couldn't respond. You could call and see if they are in by now. I think it was pretty fast that my son's got processed, even though we didn't overnight it.
