Missing College Transcripts

Somewhat concerned here. My son sent USNA his college transcripts on 12/20 (the day they became available) electronically. He learned on 01/07 that electronic submission (direct from the University) is not acceptable. He then resent them - direct from the University on 01/07 by mail. He then resent them again on 01/17 (again, from the University) - and as of yesterday - after contacting USNA Admissions - he has been told they have not been received.


Why is this so challenging? Every other aspect of his application has been complete since early October.

For some reason the transcript process has been difficult for some this year. My guidance counselor told me that USNA requested that she sign the back of the transcript so she had to send it twice. It is true that USNA only accepts transcripts by the mail so it should take 3-4 days to update in the portal. Only thing I can recommend is to keep in contact with USNA admissions to make sure that the transcript arrives.
 
For those wondering about transcripts, as long as they are postmarked by Jan. 31, USNA will accept it.

Can the college send them by mail?
Yes - the college has sent them by mail - twice. We have verified the USNA address - it is correct. I have told my son to get them a 4th time and then take the sealed envelope and go to Fed Ex and overnight them to USNA. It’s ridiculous.

This link come from the service through the University - it is considered sent from the college.
 
Resend them FedEx overnight with SIGNATURE required and a tracking number. Put your sons candidate number on both the transcript AND the exterior of the envelope. Write the letter to the attention of your admissions officers name.
 
+1 to Pattonstavern. I expect they have received it but it's in a stack of hundreds that haven't gone into the system yet, and the person you spoke to on the phone wasn't going to go through the stack to see if it was there. Instead, they just looked in the system. But resending it with signature gives you proff that it was sent, should it ever be needed.

My son ordered his transcripts through his university with the option of hard copy mail. He put his candidate number as the second line of the address all in caps. Not sure if that helped identify the envelope or not, but it updated to his application fairly quick. We weren't sure how else to get his candidate number on the official papers... Good luck!

I don't think anyone can tell you why USNA Admissions does things the way they do .... it is what it is. USNA instructions are very explicit, and you need to follow them to the letter. If you've done so, then they have the transcripts and just haven't entered them yet. (When you called, I expect they probably just checked what was entered....not the stack of papers waiting for entry into the system. USNA Admissions doesn't have the manpower to chase down whether a document when they get a call from a candidate (or parent ) that isn't satisfied by how quickly things are entered into the system.

This is a good lesson learned for all going into the military ...sometimes things won't make sense, and sometimes (often ?) the military won't be keeping up with cutting edge technology. This is probably more evident in the Admissions process... in times of tight budgets, Admissions is probably pretty low in the food chain. I'm not one to discourage progress or questioning why things are done certain ways, but sometimes you simply have to accept these things and make do with what you have.

Doesn't help the current crop of candidates, but the rumor on the street is that USNA Admissions is developing a whole new system, and it may be ready for next cycle. It's supposed to be more "cutting edge" and "user friendly" , but of course, thats simply going to create a whole new set of issues for this Forum to discuss.

First thing I thought of! Glad to be getting a new system, but being the first class to “work through the bugs” will be a new, unique challenge for next year.
 
I sent my college transcripts in at the beginning of January. The transcripts have still not been processed. However, I spoke with an USNA admissions representative on the phone. The representative was conveniently the person who handles mail from my state, and will notify me when my transcripts are received. I was also informed there is currently a backlog of mail at USNA. As long as the mail was postmarked by 1/31/19, one's application should be okay. I also sent an e-mail to admissions restating my dilemma, in order to leave a "paper trail" and be proactive about the situation. I hope this helps.
