Hi, I was trying to update my candidate activity record and my RD said that my counselor could email with new activities and awards to update my file with. I was just wondering if anyone else has been able to do the same. I have sent multiple updates all the way back to December 14th to my RD with no response. I have tried confirming with them that they have been received again to no response. I am at the point in my file where every little bit will help and I am hoping that the deadline of January 31st does not affect this.

Aside from this, I was wondering where to submit first semester grades to as I have asked and was given no instruction as of now.

My son updated his resume and sent it to his admissions counselor. He highlighted in the email what the changes were. ie for example: (dear admissions counselor, I am sending you an updated resume that includes the following updates to my athletics: my high school cross country team won the state championship, and I was named to the all-regional team and the following update to my other accomplishments, I am one of two finalists for such and such national award, the results will be announced in February.) Then he attached an updated resume.

I am guessing that the January 31 deadline would be the last updates that will be accepted. At some point, they need to have completed files to rank and evaluate. (again, just a guess, I am no expert.) If you are unsure if your emails are being processed it is probably worth a phone call to speak with your counselor directly.

My son had his counselor send his 7th semester transcript to the person who sent the email asking for them and copied his admission counselor. The person who sent the email originally asking for them responded immediately confirming receipt and said that his file was updated. Hope that helps.

Good luck!

If Admissions wants your first semester grades, they will ask and give you instructions on how to submit. If not asked, they don't need them.

Did you send the updates, or did you have your counselor submit them as directed by the RD ? I believe that USNA requires counselor verification on updates.

What makes you think this ? The truth is, most Candidates records are pretty well established by the beginning of your Senior year .... you may receive awards and accolades that might make you feel good, but really don't add to your application in a material way.

I had my counselor submit them directly to the RD as directed and I have been attached to every email. We have received no response so I reached out to my BGO, he said this was absurd and that he would have to “escalate” this process. He also said that RD are not very responsive from prior experience.

some notable things I would like to add is
“New job lifeguarding” which I believe demonstrates leadership and a high level of responsibility so would be good to have on my resume. I have some other smaller awards as well but I have received one coach nominated and one staff nominated award that I think would also help strengthen my file.

I am only saying this about my file as well because I believe my math level is what is holding my file back and if I could send my transcript in to show that I am excelling in the two math courses I am taking this year would be beneficial.

You are definitely right though in that if they need more they will ask.

Respectfully, Admissions is super busy at the moment. It’s the busiest time of the year, with the application due date. People sending things to supplement their applications, last minute. Worried candidates sending emails, to be answered. Sen/Rep Slates due. And this year, DODMERB causing issues. DODMERB is also recently up and running so I suspect admissions is dealing with additional work loads associated with that.

What do you mean, ‘we have received no response’? That’s deemed ‘absurd’ and needing ‘escalation’? What are you needing?

This is what my BGO has told me…

I should receive a response with usually no longer than a 5 business day wait. Even he thinks that is a long time to reply back back but I can understand if they are extremely busy. I have not received any responses on questions and updates that I have sent in from 1.5 months ago. Over that course of time, I have reached out 4 separate times since the first email trying to confirm if my updates have been received but still nothing.

It just seems strange to me that I haven’t heard anything in 1.5 months time as that is very long.

DS was told by his RD that he should email him with new awards/leadership roles/honors last semester, and DS did do that twice, and RD got back to him that they were added to his file. He is also great at responding, usually gets back to him via email within 2 business days. DS did also ask him about 7th semester grades, and his RD said they are not needed unless specifically asked for.

That does seem odd. 1.5 months, and 4 emails not responded to, at all.

Maybe try calling? Or try the admissions chat?

This does seem like a long response time. Even with core staff changes always in the mix.

The BGIS system sends updates and reminders for BGOs to do their part.

So your son was able to update his activities? After over a month of waiting, I heard back from my RD saying that I could no longer add activities and awards to my file because I have already submitted it. This must be different than USMA because they actively encourage the updating of my file but I am confused whether I can or cannot for USNA.

So, he didn't update the activities section of his file (the part you fill out online). If that is a thing for USNA, to be honest I am not sure what parts of applications belong to what SA. What he did do is update his resume, which I believe was an optional (or required, again, since I didn't actually fill out the apps, I'm not positive) document and sent that directly to his admission's guidance officer.

Their response was "I apologize for taking longer to get back to you. Congrats on your new accomplishments! I am proud of you."

I guess they did not specifically say that anything was or wasn't updated. If your rep is telling you they can't update anything then I am not sure that there is anything else you can do.

And I am sorry you waited so long for a response. I am sure that waiting is very difficult!

Yeah it is no problem, I wish they could have been a little more specific, all I got after that long time was them saying they couldn’t do anything, I even asked about transcripts and my resume and they had no response to that so I am frustrated trying to communicate to my RD.

I am sorry. I can understand your frustration. If you are available at noon EST, most days there is an admissions rep available on the website chat. It might be an easier way to get a specific question answered since your assigned rep isn't very responsive (and I'm going to give a lot of grace in that we have no idea why the delayed response) But the other option is to write out your specific questions and pick up the phone and call. I know calling can be a little more uncomfortable, but it gives you the opportunity to ask follow up questions. ie, I understand that I cannot update the activities section on my file, but may I submit an updated resume for consideration? Can you confirm you received my transcripts? ect.

But it sounds like, at the end of the day, you have a completed file for the admissions board to review and that is the most important thing! Best wishes!
