DoDMERB communication

Does candidate receive notice directly from DoDMERB when disqualified (with disqualifying condition), or does it just appear in their USMA portal? DS was disqualified and a waiver has been requested, two weeks ago. He has never received any type of communication from DoDMERB regarding this, nor a request for AMI for his waiver - it just showed up in portal. The only time he received an email from DoDMERB was a response to an email he sent a few months back. I just want to make sure he isn't missing something (maybe they have his email incorrect, or ???). He is trying to be proactive, but has no idea if there are any other disqualifying conditions, other than his obvious one, so doesn't know if he should be gathering AMI for anything else. I'm thinking he should call to inquire about it, but am seeking insight from those who know. ;)

My DS is in the same boat and also was DQ'd and a waiver requested from USMA. He reached out to DODMERB via the email listed on the DODMERB website. A few days later he did receive a helpful response indicating that:
- nothing had been requested from him at that time
- monitor email for future communication (the sender indicated it could be a couple months)
- priority was being given to ROTC applicants at the moment (I guess due to tighter timeframes).
The reply also indicated the specific disqualifying condition and that all the academies had been informed of the DQ and were under consideration for waiver reivew. Hope that is helpful.

So I’m no expert by no means but my DS is cleared on everything (including 2 noms) except medical. He had his file transferred from dodmets to dodmerb first week of November. Just checked his portal yesterday morning and saw he was DQ’d medically. So from what I’ve read and understand my DS has to wait and see if SA will ask for AMI to hopefully help move towards a waiver request by the SA. I don’t believe DS can request the waiver it has to be the SA.

That is true, he can't. USMA requested DS's waiver before requesting any AMI. We are now waiting for that request to come.

thank you that’s what I thought. Keep me posted on your DS. Hope the best for him

I don't know how things are working now, with DoDMERB website down, but my son (now cadet at USMA) got a waiver last year. The request for additional medical information came from doctors at Keller hospital through the DoDMERB website. Because USMA will both request and make the waiver determination everything is in their hands from this point on. USNA and NROTC cleared my son in a couple weeks for waivers but USMA took almost three months. Also understand that even if USMA doctors issue a “recommend Grant” it will still come back to a waiver committee in admissions for final decision. I think USMA is the only SA that works this way.

The main thing you can do is, if you have the DQ codes, to look at the reasons for the disqualification and to gather any medical records associated with those conditions and stand ready to submit when requested. The wait can be tough but if you search SAF you can usually find others with similar medical conditions and see how they faired. Just remember that waivers are all individual and granted at the discretion of the SA with the needs of their particular service in mind, and what might be granted a waiver one year might not the next. Good luck and try to relax through a period of waiting, which is very hard when it is the final hurdle in a long process and your candidate can taste the appointment so close at hand.

Thanks for the info. Unfortunately, we do not have any DQ codes, so can't even be proactive. I know that his shoulder is for sure one issue. Not sure if there are more, as we have had zero communication on it. Having the website down makes it harder for everyone. So, when you say requests will come from Keller, do you think we should look for communication from Keller, or DoDMERB (since we can't go to DoDMERB website for info).

You will get an email (or candidate will) stating DQ reasons and these reasons should have codes by them. This DQ email will come from DoDMERB then, once USMA or other SA requests a waiver the SA’s medical representative will take over but in the past this has been through the DoDMERB website / platform. I don’t know what is happening now. The candidate will see his / her portal go to ”Disqualified” and then “waiver requested” until a determination has been made. You can even challenge a waiver decision, but I don’t know how often those challenges have been successful. Many times there might be multiple disqualification codes but all related to the same condition or event. My first cadet has a skull fracture and concussion a few years before applying and so he had DQ codes for his skull fracture and one for a concussion where symptoms didn’t completely resolve in a certain period. The same medical information we submitted pertained to both DQ codes from the same event.

My DS emailed DoDMERB after he learned he was DQ'd. The DQ appeared on the USMA website before DoDMERB contacted him. As soon as that happened, he emailed DoDMERB directly and asked for a reason for the DQ. About 12 days later, he got a personal response from a DoDMERB representative that indicated what conditions led to the DQ. So, I'd suggest your child do the same: email DoDMERB directly and ask for the DQ reason. We have been collecting the documentation they may request for those conditions and plan to respond immediately when requested. It's been about three weeks since the DQ and that is the only communication we've received. USMA has requested a waiver and that was pretty immediate after the DQ appeared on the portal.

Did DODMERB specify what documentation/tests your DS will need to provide?

No. The only communication we've received so far is a response to our email about why he was DQ'd. Waiver was requested by USMA right away but nothing from DoDMERB since.

Just an update for my DS. He received an email directly from USMA for AMI to facilitate his waiver request. The email indicates that the USMA (not sure if this is general or specific to DS) is working around the DODMERB technical issues by directly contacting him and requesting certain medical records and doctor documentation.

Yes, my DS also received a letter directly from USMA. Hopefully this will mean a quicker turn around, since it doesn't have to go through DoDMERB. Good luck to your DS.
