DoDMETS Issue: Fractured Femur 15 Years Ago

My DS has received a conditional appointment to the Coast Guard Academy, and his medical is the last thing prohibiting him from moving forward.

He fell down a slope in 2007 (He was 3 at the time) and fractured his femur, and since then one of the hospitals he was treated at has shut down. DoDMETS requested numerous medical documents regarding the surgery and recovery, but due to the time that has passed and closing of the hospital getting these records is not easy and will take months to get ahold of. After explaining the situation I received this reply:

“You may write/type a personal statement in detail answering the questions that we have asked (i.e. why you do not have medical records, dates, current status regarding the issue at hand, etc). Please be sure to hand sign and date the statement, include your full name and last four of your SSN, scan and email to me as a PDF document. Please do not pictures or images as they do not upload clearly. Also note, your personal statement does NOT gurantee a qualified status, but is an explanation to the requested information.”

He is reluctant to write the personal note because it is clearly stated that it may not qualify him, but attaining the necessary documentation would take months. He also had an ACL tear a few years back which could delay the process even more if he had to get a waiver, so he doesn’t want to risk waiting months to get the documentation and possibly miss the deadline.

What is the best way to proceed in order to satisfy DoDMETS requirements while also ensuring he meets all deadlines to attend this summer/fall?

A general piece of advice for anyone applying to a SA is to go ahead and start gathering any medical documentation that you think you might possibly need as soon as you (or your child) decides to apply. Don't wait until you get a DQ. Even if you don't end up needing them for DODMERB or for a waiver, it is still good to have them for your medical history. Gathering medical records can take much longer than expected.
