My DS is applying EA. He submitted his physical fitness test score on Tuesday afternoon and it is still listed as missing in his Bear Den account. What is the next step?

Don't worry about it showing up in the bear's den portal. It is oftentimes pretty slow and sometimes even takes upwards of 1-2 weeks for things to appear as submitted. If you sent it in though, they have it. I would recommend having your DS sent his AO a quick email to confirm it was received.

My interview report and transcripts were not indicated for 5 days after I submitted them but my AO confirmed that they were indeed received the same day I had them submitted.

Thank you. Do you think he should call the admissions office tomorrow just to set his mind at ease?

I would personally recommend sending an email. From what I have gathered over my time as an applicant: Most of the admissions officers generally prefer email as a means of communication

That being said, I completely understand how nerve-racking it can be not being able to get an immediate response so I wouldn't blame your DS if he just wanted to call them instead, which is totally fine.

He emailed and phoned his AO yesterday, but has not heard anything back. Thanks for your help!

Don’t panic. According to the USCGA website, you have 14 days from the 10/15 EA deadline to submit your PFE. So you have plenty of time to get a response from the AO to confirm receipt. I’ve copied and pasted the relevant excerpts, but here’s the link if you want to see it for yourself.

Deadlines

Required/supplemental forms and standardized test scores will be accepted for 14 days after the deadlines above.

To be considered for admission you must submit a complete application by the deadline.

Required Forms

Forms are available online as you complete the online application.

  • High school transcript(s)
  • Math instructor letter of recommendation
  • English instructor letter of recommendation
  • Guidance counselor letter of recommendation
  • Physical Fitness Examination (PFE)

And just to be clear, your son didn’t actually submit his own PFE score, right? The scores should come directly from the examiner, not the CGA applicant.

Thank you! I didn't know this. Thanks for your help!

No problem. I was in your shoes a year ago. So stressful! But it all worked out for my son! At least with EA, you get an answer pretty quickly (unless you’re deferred to RA). Good luck to your son and the rest of the EA candidates!

Just like Eskimos having 20 words for snow, you're going to develop a vocabulary around waiting: waiting for people to send docs, waiting for portal status to change, waiting for dodmerb appointments or results, waiting for decisions, waiting for waivers, etc. Waiting is. Let go. Breathe. Tell your DS to go enjoy his senior year.

co-waiting…

DS’s application was submitted well before the EA deadline. We’ve heard nothing so far, not even an email confirming his application is completed and will be reviewed. Several items had been listed as unchecked in Bear’s den despite all had been submitted… until yesterday, the dashboard finally tells us his application is complete. Also yesterday, DS received an email from dodmerb, saying he is qualified for CGA (based on medicals done over a month ago at the request of another academy). Things are moving for sure.
