You should leave the appointment as a data point with “Declined!” Your data helps people see when and where appointments are showing up, types of noms, LOA, etc. No need to delete at all. Just update.

Think of the BFE as one of the last events or artifacts in the long application appointment system Workflow process. The applicant is an Actor in many of the Use Cases in this Workflow.

Upon receiving a notification that an Appointment Event has occurred, the applicant must input their choice of Accept or Decline into the system, where such action is recorded and persisted to a Database. Another process in the Workflow will sweep the Database periodically to see who has accepted or declined their offers of appointment. This process will instantiate another process, call it the BFE process, if an accept is identified.

So this is all event based .... Have the applicant Accept their offer on the Website if they want to see a BFE in the snail mail.
