Is there a foolproof way to submit a college transcript to Annapolis?

For some reason (and if anyone knows, I'd be curious to hear the explanation), the Naval Academy alone (at least among the AFA, WP, and USMMA) will not accept college transcripts electronically from Parchment. Instead, college transcripts from Parchment have to be submitted snail mail to a mailing address at the Academy. So far, though, that has not yielded the desired results. My son has two college transcripts -- one from summer classes during HS, and one from this past semester when he was a full-time college student. Using the Parchment snail-mail system, he has submitted both. He submitted the older one this past summer, and that has never been reflected in his portal. Likewise, he submitted the Fall 2023 transcript in mid-December via Parchment snail-mail, and that also has not appeared in his portal.

In the meantime he called admissions, and they suggested he contact his Admissions Counselor. So he did that by email the week before Christmas, and he attached both transcripts to the email to his counselor. No response, and no portal change.

These college transcripts are the last items remaining to be done in his portal. Nomination, CFA, and DoDMERB are all cleared.

Any ideas?

Are you sure college transcripts can't be sent electronically? I had mine sent as a PDF to my regional coordinator from the website that runs my college's transcript services. He said that he received it, never asked me to send it by mail or anything like that. I also never had a checklist item specifically reserved for a college transcript in my portal, unlike BGO interview, ECA validation, personal statement etc. I only knew that it was received because he emailed me back saying he had received it.

I've never heard of this parchment thing before. Good luck getting everything sorted out! That's certainly a frustrating situation to be in.

Edit: just to clarify I too am a college re-app.
 
In his, there is a line item for College Transcript right above High School Transcript. I assume it was generated because his application said he had already graduated from HS and was a full-time college student. But that's just a guess as to why it's there.

Parchment (https://www.parchment.com/students/how-it-works/) bills itself as the leading etranscript provider going. His HS and all college transcripts are available there. But that raises a point -- is there some other third-party transcript service that can provide transcripts electronically to USNA? If so, that would probably solve the problem.
 
My son wanted to send his transcript for his AS degree. He paid for an unofficial copy and sent to his admissions counselo. He got the college to send them but it was a real pain in the @s#.

DS did the same in 2020. Snail mail sealed envelope for college courses. But they did receive them.

Has your son called and spoke (on the phone ) to the admissions counselor? Your post states only email…if a phone call hasn’t been made, then I recommend this. A phone call is likely to clear any confusion and provide clarity on the process. Also, sending an email right before the holidays and expecting a response shortly right after isn’t reasonable…remember there are many candidates admissions is dealing with, plus folks on leave, etc.

He's had two sent to that exact address, with candidate number, directly by Parchment. I guess it wouldn't hurt to also send them himself. I'll have him try that.

I'll tell him to call also. That said, it's not the first unresponded email he's had going back months now. I'm not sure the AO has responded to any of his emails actually. And for this one, I suppose we might disagree, but 16 days seems reasonable to me for an email response. This is the topic of another thread, but USNA in particular has been dismal with responsive communications in the application process in comparison to all of the other academies.

I (aspiring c/o ‘28) once had this issue. I found that instead of choosing a school directly, underneath that section there is an option to “send transcript to myself or another individual”. Click this, then enter your Admissions Counselor‘s email. Enter USNA Admissions or something similar for the name. This worked for me, but it may be different for different regions. Hope this helps!

I dealt with this same exact problem this year. Through parchment you can send the transcript to an email. When you go in the recipient search, there will be a link that says something like “send transcript to another individual” and it will give you an option to enter an email address.

So I used my USNA Admissions Officer email and they were able to download my transcripts that way.

Not saying that not responding to emails is right…but you can’t complain if you haven’t tried all avenues of communication, including picking up the phone. Good lesson for DS…there will be LOTS and LOTS of following up in the military…sometimes email communication will not always work.
 
There is also the option for a staffing turnover or a position that is vacant and hasn’t been filled yet, so a phone call to admissions could confirm who the prior we admission representative is.

DS is also a college reapplicant. Admissions advised him to send college transcripts to AO's email via parchment. He did so about two weeks ago and is patiently waiting for the check mark in his portal. :popcorn1:
 
Sounds like that may be the preferred method. Would be nice if they just included that in the instructions for college applicants. . . .
